Users, roles and invitations
Users & Profiles is where you decide who is in your workspace and what each person can do: you invite users, give each one a role, choose who may manage billing, and assign the profiles a person works on. It matters to anyone running a team or an agency; on Solo there is one user and nothing to set.
Open it from Settings → Users & Profiles, or from the workspace menu at the top of the sidebar with Invite and manage users. The page has two views: Users (the people) and Profiles (the profiles and company pages, with who works on each).
The three roles
Every user has exactly one role.
| Admin | Member | Client | |
|---|---|---|---|
| Profiles they work on | Every profile in the workspace | Only the profiles assigned to them | Reviews posts on the profiles assigned to them |
| Creates ideas, posts and media | Yes | Yes, for their profiles | No |
| Invites and removes users, changes roles | Yes | No | No |
| Workspace-wide settings (Strategy, Tone of Voice, Branding, Content check-in, Post status, Developer) | Yes | No | No |
| Manages billing | Yes by default, can be switched off per person | No | No |
Member is the default for a new invitation.
What a Client sees
The Client role is for an agency's customer, who reviews and approves what the agency prepared. A Client sees:
- Home, with results and posts, but no plan, goals, campaigns or content check-in.
- Posts, as calendar and list, limited to posts in review, scheduled or published. Drafts the agency is still working on are not sent to them.
- Analytics, without the Leaderboard.
- Their own account settings, and the workspace's General and Notifications settings.
A Client does not see Explore, Ideas, Media, Community, Campaigns, the chat, or the buttons that create posts. Opening one of those pages by its address takes them back to a page they can use. When a Client is the assigned reviewer of a post, they can approve or reject it.
Billing access
Managing billing (the plan, seats, payment method and invoices) is its own permission, separate from the role.
- The person who pays for the workspace always manages its billing.
- An Admin manages billing by default. Another Admin who manages billing can switch it off for them in the role menu under Can manage billing.
- Members and Clients never manage billing.
- You cannot change your own billing access. Ask another Admin who manages billing.
- In a client workspace an agency pays for, billing is managed from the agency's own workspace, so the switch does not appear there.
When you invite someone as an Admin, the invitation already carries Can manage billing. Turn it off before sending if they should not manage billing.
Workspaces that used the older roles Manager and Assistant: those users are Admins now, with billing switched off.
Inviting users
Open the invitation
On Users & Profiles, press Invite and choose Invite a user.
Enter addresses, profiles and a role
Paste one or more email addresses, separated by commas. Pick the profiles they will work on (optional; they are assigned when the invitation is accepted), then the role.
Assign profiles to every Member
A Member sees nothing until a profile is assigned to them. If you skipped profiles in the invitation, open Edit assigned profiles on their row once they have joined. A Member with nothing assigned is marked No access.
The invited person gets an email with a link. Following it signs them in, or creates their account, and adds them to the workspace. Until then they appear on the Users view as Invited, where you can Resend invitation or Revoke invitation.
Light invite link
On Business, Admins also get a Light invite link. Anyone with the link can join the workspace with a Light profile and connect their LinkedIn account. Light profiles are for engagement and analytics, no content creation. Light profiles use Light seats; when all are used, add more under Billing. You can Regenerate link (the old link stops working) or Revoke link at any time.
Changing a role or removing a user
Open the menu on a user's row:
- Change role shows what each role can do before you pick it. You cannot take the Admin role away from the last Admin; promote someone else first.
- Edit assigned profiles chooses which profiles a Member or Client works on.
- Remove from workspace takes away their access to every profile in this workspace at once. You can invite them again later.
Plans
- Solo has one user. Inviting someone opens the upgrade dialog.
- Advanced lets you invite users and pick their role when you invite them.
- Changing the role of someone already in the workspace is part of Business. On Advanced, pressing a role opens the upgrade dialog.
See Plans for the full comparison.
